This privacy notice will inform you as to how we look after your personal data when you visit our website (regardless of where you visit it from) and tell you about your privacy rights and how the law protects you.

This privacy notice aims to give you information on how TiiQu C.I.C. collects and processes your personal data through your use of this website, including any data you may provide directly through the TiiQu-managed websites: tiiqu.com - qutii.org - pdf2qa.org.

TiiQu C.I.C. is a platform that uses blockchain technology to create an immutable digital “passport” as verified proof of an individual’s professional trustworthiness. TiiQu C.I.C. develops technologies like the library of truth QUTII and the PDF2QA which use AI to transform and make available knowledge online. 

Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Who is the Privacy Notice for?

This privacy notice describes the way we treat and use personal data that we collect about any person who uses our services and webisites. At TIIQU we rely on the collaboration of Partners providing knowledge, Contributors supporting operations and Donors like you to carry out our vital truth preservation and dissemination work to the benefit of a more trusted tomorrow for all. That is why we want to be completely transparent about why we need the personal information we request when you engage with us and how we will use it.

If you do not provide your private Data

If we need to process the data you provide us with about yourself to fulfil our service and you fail to provide that data when requested, we may not be able to perform the service, in which case, we may have to cancel a product or service you have with us. We will of course notify you if this is the case at the time.

It only includes basic personal data required for you to be able to use our site, including:

1. Subscribe to our services (i.e: PDF2QA, QUTII, TIIQU)

2. Participate in Events discussion boards or other social media functions on our site

3. Apply for a volunteering position or a job

4. Fill any form on our sites

5. Enter a competition, promotion, or survey

In limited and specific circumstances, we may collect special categories (sensitive personal data) of information from you. These circumstances include:

• If you apply for a job with us. As part of our commitment to being a more diverse and inclusive organisation and to ensure that we treat people fairly, we may collect information about your ethnicity, religious or philosophical beliefs, political opinions, sexuality or data concerning health and disabilities. This information will only be used for monitoring the diversity of our applicants and to ensure that our processes are being fairly applied. We may also collect information about criminal convictions if it is appropriate given the nature of the role and where we are legally able to do so. You will be provided with separate privacy information when this type of information is requested so you are aware of how your data will be collected, used and stored.

• If you attend an event or challenge or join an excursion that we are organising, we may ask you to let us know of any relevant health conditions, disabilities or allergies that you may have, in order for us to better plan the activities and safeguard your wellbeing by making any necessary adjustments.

• If you have been specifically asked to participate in market research or a survey which include questions on the sexuality, ethnic and religious diversity of our supporters. The data will only be used for the stated purpose and kept no longer than is necessary for that purpose. Where possible we will collect the information on an anonymous basis so that you cannot be identified.

 Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of a product/service purchase, warranty registration, product/service experience or other transactions.

How do we share your information?

You acknowledge and agree that from time to time we have the right to share your personal information with:

• Any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

• Selected third parties including:

• Rocket Science Group, LLC for use of their service, Mailchimp (“Mailchimp”) based in the US, to send you our newsletter, if you consent;

• Amazon Web Services, Inc. (“AWS”), for our IT hosting on their servers based in Ireland; 

• Google LLC. (“Google”) based in the US, for the storage of documents that include your personal data on Google Drive, the use of Gmail in order to contact you about any services we provide to you and Google Contacts to store and maintain our clients’ details; 

•  select business partners, suppliers and sub-contractors for the performance of any contract we enter into with you.

We will disclose your personal information to third parties:

• In the event that we sell or buy any business or assets, in which case we will disclose your personal data to the prospective seller or buyer of such business or assets.

• If TiiQu C.I.C. or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

• If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our Website Terms and Conditions and other agreements; or to protect the rights, property, or safety of TiiQu C.I.C., our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Where do we store your information?

All personal data we process is processed by our staff in the UK.

For the purposes of IT hosting and maintenance, this information is located on servers within the European Economic Area, in Ireland.

Some of our external third parties such as Google and Mailchimp are based outside the European Economic Area (EEA), in the United States, so their processing of your personal data will involve a transfer of data outside the EEA.

 Whenever we transfer your personal data out of the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:

• Where we use certain service providers, we may use specific contracts approved by the European Commission which give personal data the same protection it has in Europe. 

• Where we use providers based in the US, we may transfer data to them if they are part of the Privacy Shield which requires them to provide similar protection to personal data shared between the Europe and the US.

 Once we have received your information, we have a Data Protection regime in place to oversee the effective and secure processing of your personal data and we will use strict procedures and security features to try to prevent unauthorized access.

However and unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website at the transmission stage; any transmission is at your own risk.

How long do we keep your information for?

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data, and whether we can achieve those purposes through other means, and the applicable legal requirements.

We are required under UK tax law to keep basic personal data about our customers (name, address, contact details) for a minimum of 6 years after which time it will be destroyed. 

In some circumstances, we may anonymize your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
